Managing your live roles

After a role is live, you can pause it, close it with a reason, repost it later, extend its deadline, or boost it. Here's what each one does and when to reach for it.

The short version

Everything lives under Roles. Each role carries a status (Draft, Live, Paused, or Closed), and the action menu on the role or its row lets you move it along: pause and resume, close with a reason, repost a closed role as a fresh draft, or delete to the trash. Two paid options, extend and boost, give a live role more time or more visibility.

The statuses

Status Badge On the public board? Meaning
Draft Draft No A work in progress. Only your team sees it.
Live Live Yes Published and taking applications.
Paused Paused No Temporarily off the board. Applications you already have are safe.
Closed Closed No Done. No new applications. You can repost it as a fresh draft.

On the Roles list, the status filter groups these as Active (live and paused), Drafts, Closed, and Trash.

Pausing and resuming

Pause takes a role off the public board without ending it. Applications you've already received stay right where they are, and nothing about your candidates changes. Reach for it when you want to stop new applications for a bit (you're catching up on review, or rethinking the role) without closing it.

Resume puts it back on the board with its original closing date. Pausing and resuming are free and reversible, as many times as you like.

Closing a role

Close ends a role for good. It comes off the board and stops taking applications. We ask for a quick reason so your records and your Insights stay meaningful:

  • Filled: we hired someone
  • Cancelled: we're no longer hiring for this
  • Re-scoping: coming back with a different version
  • Other

You can add a private note for your team, and the candidates who applied get a courteous heads-up that the role closed. Closing is final, but you're never stuck: use Repost to bring it back.

Reposting

Repost takes a closed role and creates a brand-new draft with all its content already filled in (title, description, pay, benefits, and the rest). Adjust whatever's changed, set a new closing date, and publish. The original closed role stays in your records, untouched. It's the fast way to run the same search again next quarter.

Deleting and the trash

Delete moves a role to the trash. From there you can Restore it if you deleted it by mistake.

A role that has applications can't be permanently deleted, so your candidates' records are never destroyed out from under them. You can trash it to tidy your list, but restoring and permanent deletion are only available for roles with no applications. If you need to remove a role that has applicants, contact support.

Closing dates, and extending them

Every published role has a closing date. We remind you as it approaches (7, 3, and 1 days before), and when the date passes the role closes on its own and comes off the board. Candidates who saved it get a nudge that it's closing soon.

Need more time? Extend the deadline for $50, which adds 30 days to a live role. You'll find it in the role's action menu. It works on live roles only, so resume a paused role first if you want to extend it, and repost a closed one rather than extending it.

Boosting a role

Boost lifts a live role higher in the public listings so more of the right candidates see it. A boost lasts 30 days. You can buy one for $50, and the Growth plan includes boosts you can switch on without paying each time. Boosting is optional; a well-written, well-branded role does plenty on its own.

Buying an extension or a boost is an admin action, since it spends money. If you're a member, you'll see an option to ask an admin to buy it rather than a checkout. More on who can do what is in Managing your team.

Editing a live role

You can edit a published role anytime, and your changes go live right away with no need to re-publish. If you've made changes you haven't saved, the button reads Publish updates and takes you through a quick preview first, so you see exactly what candidates will see before it's live.

Good to know

  • Pause keeps applications, close ends the role. Use pause for a breather, close when you're truly done.
  • Closing tells your candidates. They get a brief, courteous note, so no one is left refreshing a role that's over.
  • Repost beats "reopen." Closed is final, but reposting gives you the same role as a fresh draft in seconds.
  • Extensions are for live roles. You can't extend a paused, closed, or already-expired role. Resume or repost first.
  • The prices here can change. The Plan & billing page is always the last word on what an extension or boost costs.

Trouble?

  • You can't restore a trashed role. It probably has applications, which locks it in the trash to protect your candidate records. Contact support if you need it back.
  • Extend or boost isn't available. The role may be paused or closed (extend and boost are live-only), or you may be a member, in which case ask an admin to buy it.
  • A closed role still shows to someone. Give it a moment to drop off the board and clear caches. If a candidate has a direct link, the apply button will already be gone.
