Privacy policy

This policy explains what information Green Jobs Board collects, how we use it, who can see it, and the choices you have. We aim to collect only what we need to run a climate hiring platform you can trust.

Who we are

Green Jobs Board INC (“Green Jobs Board,” “we,” “us”) is a Delaware corporation that operates the climate hiring platform at greenjobsboard.us. That includes the job seeker experience, the employer experience (Canopy), Treehouse and its mentoring, the Green Jobs Pavilion events and their website, and the emails we send. This policy applies to all of them, and we are responsible for the personal information described here.

Information we collect

Information you give us

  • Account information. Your name, email address, and a securely hashed password. If you sign in with Google, Google shares your name, email address, and profile photo with us; we never receive your Google password.
  • Job seeker profile. What you add to your profile, such as work history, education, skills, interests, location, links, a profile photo, and documents you upload, like a resume or cover letter.
  • Applications. The applications you submit, the answers you give to an employer’s questions, and the files you attach.
  • Employer and company information. Your company profile, logo, job postings, the teammates you invite, and what your team records while reviewing applications, such as notes and scorecards.
  • Messages and community posts. Messages you send to other people on the platform, questions and answers you post in community spaces, comments on shared documents, messages in your hiring team’s chat, and the notes and follow-ups you write as a mentor.
  • Payment information. When you buy a listing, subscription, or add-on, Stripe processes the payment. We don’t store your full card number.
  • Support requests and reports. What you send our support team, and any report you make about another person or their content.
  • Event information. If you take part in the Green Jobs Pavilion: your registration details, the waiver you sign (including an emergency contact and your choice about photos and video), and any session feedback or notes you leave. Speakers and career coaches also give us a bio, title, photo, and links.

Information about other people

Sometimes you give us someone else’s details: a friend’s email when you refer them, a colleague’s email when you invite them to your team, or a candidate’s details when your team adds them or schedules an interview. Only share someone’s information if you’re allowed to. We use it only for the purpose you gave it to us for.

Information from other sources

  • Google, when you sign in with Google.
  • Luma, our event ticketing provider, when you register for a Green Jobs Pavilion event. This includes your name, email, phone number, ticket, and any answers to the registration form.
  • Employers, when one invites you to apply or adds you as a candidate.
  • Event forms, when you sign an event waiver through a form we run.

Information we collect automatically

  • Usage and device data. Log information such as IP address, browser type, pages viewed, and timestamps, used to keep the service running and secure.
  • Sign-in records. Each sign-in, failed sign-in, and sign-out, with the IP address and browser it came from. We use these to protect your account and to detect spam and fraud.
  • Visitor statistics. Which pages and roles are viewed, where visitors came from, and the country and region a visit came from. We work out the country and region from the IP address at the time of the visit and don’t store the IP address with these statistics.
  • Video call information. When you join a video call on the platform, we record when people join and leave, and any device or connection errors, so we can fix problems. We don’t record or transcribe calls.

Cookies and browser storage

We don’t use advertising cookies or third-party analytics. We use:

  • A sign-in token in your browser’s session storage, which keeps you signed in until you close the tab or sign out.
  • A visitor cookie (named “gjb_visitor”), set by us and kept for up to a year, so we can count visits without counting the same person twice. We send only a scrambled version of it that changes every day, so visits can’t be linked from one day to the next. If your browser sends a Do Not Track signal, we don’t count your visits at all.
  • Browser storage for your preferences and drafts, such as light or dark mode, a role you started posting before signing up, or your answers to the Treehouse quiz.

A few pages load code or fonts from other providers: Google’s sign-in page loads Google’s script, our document viewer loads from a public code library, and our emails load a font from Google. Those providers receive your IP address when that happens.

Voluntary self-identification

Some employers invite applicants to share voluntary self-identification information, such as gender, race or ethnicity, veteran status, or disability, to support equal-opportunity efforts. Answering is always optional and never affects how your application is considered.

  • Employers never see an individual’s answers. They see only anonymous totals for a role, and only once enough people have answered that no one can be singled out.
  • You can save your answers to your profile so they fill in future applications. You can change or clear them at any time.
  • Answers given with an application stay part of that application, as described under “Data retention.”

How we use information

  • To provide, maintain, and improve the platform.
  • To connect job seekers with employers, for example by sharing a submitted application with the employer who posted the role.
  • To run features you choose to use, such as messages, community spaces, mentoring calls, video calls, and interview scheduling.
  • To send you transactional email (verification, password resets, and updates about your account, applications, and calls) and, where you’ve opted in, notifications and newsletters you can turn off at any time.
  • To run the Green Jobs Pavilion: letting people in at the door, and emailing the people taking part about the event.
  • To process payments and manage billing.
  • To keep the platform safe: preventing spam, fraud, and abuse, and reviewing reports.
  • To comply with legal obligations.

Poppy

Poppy is our writing assistant for job seekers. It drafts and improves cover letters and can read a resume you upload to fill in your profile. Poppy works only when you ask it to; it never runs on its own, and nothing it writes is sent anywhere until you choose to use it.

When you use Poppy, we send what it needs to our AI provider, Anthropic: for example your profile details, the job post, your notes on the role, and the letter you’re working on, or the text of the resume you uploaded. We don’t use what you send to Poppy to train AI models, and our provider doesn’t either. We keep a count of how much Poppy is used and any thumbs up or down you give it, not the content itself.

Google Calendar and Google Meet

You can connect your Google Calendar in two places: in Canopy, if you work on a hiring team, and in Treehouse, if you mentor job seekers. When you do, we ask Google for permission to see when you are busy, and to create, change, and delete the events for the interviews or mentoring calls you schedule with us, with a Google Meet link when you choose one. A mentoring call’s event has no guests, so your mentee never sees your email address, and you never see theirs.

  • What we see. Only the start and end of your busy periods, never what the events are. We use them to leave out the times you are busy, when we suggest interview times or show a mentee when they can book you, and we don’t keep them.
  • What we store. Your Google account’s email address, the access tokens Google gives us (encrypted), and the ID and Meet link of each event we create.
  • How we use it. Only to schedule your interviews and mentoring calls. We don’t sell it, use it for advertising, or use it to train AI models.
  • Disconnecting. You can disconnect at any time in Settings, under Scheduling in Canopy or Mentor in Treehouse. That deletes the tokens and asks Google to revoke our access. Events already on your calendar stay there.

Green Jobs Board’s use and transfer of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements.

What other people can see

  • Employers you apply to see your application, the files you attach, and the profile details it includes.
  • Your public profile is off unless you turn it on. When it’s on, anyone with the link can see the parts of your profile you choose to show. Your files appear only if you choose to show them, and your email address never does.
  • Discover lets employers on some plans find job seekers who have chosen to be found. It’s off unless you turn it on, and employers never see your email address or phone number there.
  • Mentors can choose to show their mentoring on their public profile and share a link to it.
  • Messages are seen by the people in the conversation. Questions and answers in community spaces are seen by other job seekers who use them. Employers can’t see community spaces.
  • Employers’ job posts are public. If an employer shows a hiring contact on a post, that person’s name, photo, title, and email address appear on it.
  • Hiring teams in Canopy see the applications, notes, scorecards, and team chat messages for their company, as their role on the team allows.
  • Pavilion speakers and career coaches appear on the event website and on cards we share, with their name, title, company, photo, and bio.
  • Pavilion feedback you write may be quoted, without your name, in a public summary of the Pavilion that we publish after the event. Ratings and other answers appear there only combined with everyone else’s.

How we share information

We do not sell your personal information, and we don’t share it for advertising. We share it only in these circumstances:

  • With the people you choose, as described above: the employers you apply to, the people you message, and the people who can see what you make public.
  • With service providers who run parts of the platform for us. They may use your information only to provide their service to us:
    • Amazon Web Services: hosting, databases, file storage, email delivery, video calls, and logs.
    • Stripe: payments and billing.
    • Google: sign-in with Google; Google Calendar and Meet if you connect them for interviews; and Google Forms and Sheets for some event waivers.
    • Zoom: if you connect it for interviews.
    • Anthropic: Poppy, when you use it.
    • Luma: event registration and tickets.
    • Mailchimp: our newsletter, if you sign up for it.
    • Sentry: error reports, with personal details removed before they’re sent.
  • For legal and safety reasons, when required by law, or to protect the rights, safety, and security of our users or the platform.
  • In a business transfer, such as a merger, acquisition, or sale of assets, subject to this policy.

Once an employer receives your application, they also handle it under their own privacy practices.

When our team sees your information

Our team accesses your account only when it’s needed to help you or keep the platform safe:

  • Support. To help with a support request or investigate a problem, a member of our team may view your account as you see it, read-only, for a limited time. They must record a reason, and every visit is logged.
  • Reports. When someone reports a message, post, or person, we keep a copy of the reported content and the conversation around it so our team can review it. We keep that copy even if the original is later deleted, and only our team can see it.

Email and your choices

Transactional emails (such as email verification, password resets, and updates about your own applications and calls) are part of the service. Notification and marketing emails are optional. Every such message includes a one-click unsubscribe link, and you can manage every category from your account settings. Unsubscribe requests take effect immediately.

If you take part in a Green Jobs Pavilion event as a guest, speaker, or career coach, the event team may email you about it. For example, we may send a speaker their sessions and their private link, invite a guest to create an account, ask how a day went, or send everyone who came the survey afterwards. These emails can reach you even if you don’t have a Green Jobs Board account, and a reply to a message from the team reaches them directly. They are about an event you took part in, so your account’s email settings don’t cover them.

Data retention

We keep your information while your account is open. When you delete your account, we delete your profile, files, saved jobs, notes, cover letters, messages, and the other content tied to your account. Some information stays after deletion:

  • Applications you sent stay with the employer you sent them to, with your answers and files, but no longer linked to an account.
  • Support conversations, so our team keeps a record of what was asked and answered.
  • Hiring team records, such as team chat messages, stay with the company.
  • Copies of reported content, as described above.
  • Event registrations and waivers, which are kept for the event’s records.
  • Security, legal, and accounting records, such as sign-in records, a log of the emails we sent, and payment records.

We keep these only as long as we need them for those purposes. Some records are deleted on a fixed schedule, whether or not you have an account:

  • Sign-in records (the time, IP address, and browser of each sign-in): 13 months.
  • Ended sign-in sessions: 30 days after they expire or you sign out.
  • Our log of the emails we sent you, including what each one said: 90 days.
  • Expired verification codes and password reset links: 30 days after they expire.

Security

We use technical and organizational measures to protect your information, including encryption in transit, hashed passwords, two-step verification, and access controls. When you choose a password, we check it against a public list of passwords exposed in other companies’ data breaches, without sending your password anywhere. Connections you make to other services, such as a calendar, are stored encrypted. No method of transmission or storage is perfectly secure, but we work to protect your data and to respond promptly to any incident.

Your rights and choices

  • See and correct your information in your profile and account settings.
  • Download your information from your account settings. A job seeker’s download holds everything on their account, from their profile and applications to their messages and sign-in history. An employer’s holds their profile, company, and roles. For anything not included, email us.
  • Delete your account from your account settings. If you own a company, are on a hiring team, or are on our team, contact us so we can hand over or close what depends on your account first.
  • Choose who can see you. Your public profile, Discover, and mentoring profile are all off unless you turn them on, and you can turn them off at any time.
  • Choose your emails from your notification settings.

Depending on where you live, you may have additional rights, such as to access, correct, delete, or receive a copy of your information, and to opt out of certain processing. Residents of California and other states with privacy laws have these rights, including the right not to be discriminated against for using them. We use sensitive information, such as voluntary self-identification answers, only for the purposes described in this policy. To use any of these rights, email privacy@greenjobsboard.us. We may need to confirm your identity first.

Children’s privacy

Green Jobs Board is intended for people who are at least 16 years old and of legal working age. We do not knowingly collect information from children. If you believe a child has given us information, contact us and we will delete it.

International users

We are based in California, in the United States, and process information there. If you use the platform from outside the United States, your information will be processed in the U.S., which may have different data-protection rules than your country.

Changes to this policy

We may update this policy from time to time. When we make material changes, we’ll update the date above and, where appropriate, notify you. Continued use of the platform after changes take effect means you accept the updated policy.
