Position Summary
The Database Manager reports to the Associate Director of Philanthropy and is an essential member of the highly collaborative Advancement division. This mid-level position is responsible for managing, maintaining, and optimizing TLC’s Blackbaud Raiser’s Edge CRM to ensure data integrity, timeliness, and usability to support fundraising efforts and broader organization. They will work closely with the Philanthropy and Finance teams to complete timely gift entry and acknowledgement processes, generate reports and dashboards, manage user accounts and permissions, and support staff in using the database effectively. Over time, this position may include training and supervising other staff on database practices.
Key Responsibilities
Data Management & Gift Processing
- Lead and complete gift entry (checks, stocks, ACH, online) and acknowledgement processes, ensuring timely and accurate tracking of donations.
- Monitor data quality, troubleshoot/correct errors, and implement improvements, balancing a high volume of work with attention to detail.
- Support staff in managing multiple processes independently, applying experience with gift entry and Blackbaud where applicable.
- Liaise with the Finance team on the monthly reconciliation of pledges, payments and recording of other revenue items to ensure that both philanthropy and accounting systems are aligned.
Reporting & Analytics
- Create and run queries, reports, and dashboards — including donor appeal and cultivation lists — to provide actionable insights, track fundraising metrics, and support strategic decisions.
- Provide regular reporting to ensure accurate gift processing and inform the Philanthropy team’s work.
- Communicate findings clearly and collaborate with team members to optimize reporting and workflows.
Database Administration & Maintenance
- Administer and maintain of TLC’s Blackbaud Raiser’s Edge CRM, ensuring accurate, up-to-date, and actionable data to support fundraising, programs, and operations.
- Manage user accounts, permissions, and routine maintenance, and train staff on database best practices to ensure consistent and efficient use.
- Streamline database systems and processes, leveraging strong technical skills and an infrastructure-minded approach.
Skills and Qualifications
- At least 3 years of hands-on experience working with a fundraising database (e.g., high-volume gift entry, reporting, data maintenance/administration, acknowledgement processes, and reconciliation with finance systems)
- Ability to extract, interpret, and present data to support fundraising, programmatic, and operational decisions.
- Systems- and process-oriented, with experience streamlining workflows, improving database infrastructure, and creating dashboards/tools for staff.
- Proficient with Microsoft Office/Office 365, especially Excel, and CRM databases (Raiser’s Edge NXT preferred).
- Ability to manage multiple priorities independently while maintaining accuracy and attention to detail.
- Strong collaboration and communication skills, working effectively across teams.
- Curious, detail-oriented, with a learning mindset and interest in improving database practices.
- Ability to handle confidential financial and personal information with discretion and sensitivity.
