intelligence to build movements that connect culture to on-the-ground change for Nature — shifting hearts,

As we enter a new chapter of growth, Overstories is formalising its core team, expanding its partnerships, and
strengthening the systems that underpin our cutting-edge work. We are seeking a multidisciplinary thinker and
do-er to support this transition and help bring our ideas to life.

About the Role
Overstories is looking for an Operations & Project Manager — the person who makes sure the organisation
actually runs. The one who walks into a leadership meeting and already knows what decisions need to be made,
who owns them, and what's blocking progress. The one who looks across a portfolio of campaigns and can tell
you, at any moment, which workstream is at risk and what needs to happen to get it back on track. The one who
doesn't wait to be asked — who anticipates the next inflection point, builds the structure around it, and quietly
makes sure the whole organisation is moving in the same direction.

This is both an internal operations role and a client-facing project management role. You'll coordinate the
team's workflows and rhythms, keep campaigns on track, and build the future-proof operational infrastructure
that a fast-growing impact agency needs to function at its best in the age of AI. You will need to have a creative
instinct and muscle, and have experience with creative project pipelines.

We are a distributed team of 13 moving fast. Right now, too much of this coordination lives in the Founder's
head. That changes with this hire. You will own the operational engine of Overstories — and as the organisation
scales, this role has room for growth towards a more senior position.

What You'll Do
Internal Operations
  • Own the operational rhythm of the organisation: weekly team meetings have agendas, decisions get documented, actions get followed up
  • Build and maintain simple, effective systems for task management, deadline tracking, and team accountability (Notion is our project management tool)
  • Circulate agendas ahead of calls and follow up with actions timely
  • Consolidate input from various stakeholders into deliverables to shepherd them along
  • Onboard new team members into Overstories' tools and workflows
  • Identify where processes are breaking down and fix them — proactively, before they become problems
  • Manage internal documentation: SOPs, project wikis, team guides
  • Support the Founder in keeping the organisation focused, coordinated, and moving• Identify opportunities to incorporate AI agents to simplify workflows or labor-intensive tasks

Campaign & Project Management
  • Manage end-to-end campaign orchestration: timelines, milestones, deliverables, and client communications
  • Run project kick-offs, check-ins, and retrospectives — making sure teams know what success looks like and how to get there
  • Coordinate across internal team members, freelancers, and external partners to keep workstreams aligned
  • Manage up when timelines are at risk — flagging early, proposing solutions, and keeping client informed
  • Maintain project documentation and status reports that give leadership clear visibility at all times
  • Document campaign impact and progress for internal, public-facing and funder-facing reports
  • Track and follow up on individual team member deliverables — making sure every person knows what they own, when it's due, and that nothing slips between the cracks without being flagged and resolved
  • Be scrappy and pick up work where there is a gap, implementing strategic thinking at every step

People Management
  • Build trust quickly across a diverse team of full-time staff, freelancers, and external partners, making people feel seen, supported, and clear on what's expected of them
  • Navigate interpersonal dynamics with maturity and discretion, resolving tensions before they escalate and fostering a culture of open, constructive communication
  • Give direct, actionable feedback in a way that motivates rather than deflates, and create the conditions for others to do the same with you
  • Manage up as confidently as you manage across, keeping the Founder informed, flagging risks early, and offering solutions rather than just problems
  • Hold the team accountable to their commitments without micromanaging: knowing the difference between support and dependence, and building the former
  • Bring genuine care to the people you work with: checking in, noticing when someone is struggling, and understanding that a high-performing team is also a human one

Tools & Infrastructure
  • Own Overstories' project management tooling (e.g. Notion, Claude, Google Drive) — set it up properly, keep it maintained, and make sure it is well-suited to the team, and that they consistently use it
  • Consistently use AI tools to improve turnaround across operational workflows while owning quality control and knowing when not to automate
  • Focus on the expansion of AI tools within the organization to connect relevant workflows to our project management database
  • Help shape Overstories' internal AI policies based on a clear-eyed understanding of AI's capabilities and limits
  • Identify gaps in our digital infrastructure and propose solutions

What You Bring
You have senior or leadership experience in project management, operations, or a coordination-heavy role,
ideally in a mission-driven organisation, a creative agency or fast-moving and complex startup environment.

  • Activist at heart. You've been involved in changemaking — a campaign internship, advocacy, nonprofit work, organising, political work, canvassing, movement building, volunteer work, anything!
  • You understand how hard it is to build movements and shift power, and you're not afraid to be part of a team that takes on powerful interests, corporations, or governments when the cause demands it.
  • Emotionally intelligent. You know yourself well enough to stay regulated under pressure, and you know others well enough to read a room, navigate complex interpersonal relationships and tension, and bring out the best in the people around you.
  • Cross-cultural fluency. You bring genuine humility, curiosity and sensitivity to contexts that are radically different from your own.
  • Relentless follow-through. You close loops on time. You don't let things slip. People know that if it's with you, it's handled.
  • Systems thinking. Efficient and reliable strategic thinker who can look at challenges from a systemic point of view, who creates plans and solves issues by taking into account the context they live in.
  • Clear communicator. Written, verbal, and interpersonal. You can run a meeting, write a crisp brief, and give + receive direct, constructive feedback. You believe feedback is a muscle, not a moment, and you help build that culture around you.
  • AI-native and tool-savvy. You already use AI tools in your daily workflow. You understand how to design multi-step agentic workflows, connect them to real systems, and deploy them in ways that create genuine operational leverage. The AI landscape is moving fast and you move with it, but you're discerning. You know where AI introduces risk, erodes quality, meets its limits, and when the job is for a real person. You also have experience with Notion, Asana, Airtable, Monday, or similar project management and AI tools.
  • Calm under pressure. Startups embrace ambiguity and uncertainty. You're the person who brings steadiness amongst chaos.
  • Startup-ready. You're here to build something together with us, and you understand the scrappiness and commitment that requires.

    Additional preferred experience:
  • Industry knowledge: Existing familiarity with the conservation, philanthropy, or impact sector.
  • Knowledge of the advocacy, wildlife conservation and/or climate nonprofit and family office landscape.
  • Prior exposure to a communications agency, PR firm, production house, or similar media company, enough to understand how creative and campaign outputs are produced from brief to delivery. You know what a comms pipeline looks like, who does what, and what it takes to get quality work done
  • Familiarity with the work culture of a startup
  • Experience supporting or working closely with a founder or senior leader

Salary: $75,000–$90,000, depending on experience
• Location: New York City (in-person, downtown Manhattan)
• Contract: Full-time
• Reporting: Directly to the Founder & Executive Director
• Start date: As soon as we find the right person
